Reports

Reports consists of three screens in which it enables you to view and generate different types of reports. The three available screens are the following:

  1. Internal
  2. Government
  3. Certificates
  4. Analytics

The descriptions for the screens are as follows:

Internal Screen

This screen shows and allows you to generate payroll-related reports within your company. By default, the Internal screen looks like the following:

The description for the field available in this screen is as follows:

Report Type – Allows you to choose the report category to generate.

When an option in the Report Type dropdown menu, new fields may appear to help narrow down the data in the reports upon hitting the Generate button.

Regardless of the selected option, they all follow the same basic format:

As could be seen, when a report is generated, two areas appear. The areas are:

  1. Select Report Type area
  2. Onscreen Report area

The following shows the different view of the Internal Reports screen according to the generated report type:

Bank_File

The description for the fields and the report they generate are as follows:

Internal Reports Action Buttons

In its default view, the Internal screen consists of multiple buttons that allows you to perform different tasks. The available buttons are:


Generate – Allows you to run or generate the report.


Download CSV – Allows you to save and download the onscreen report as a CSV file.


Download ZIP – Allows you to save and download the onscreen report as a ZIP file.

Internal Reports Actions

The Internal Reports screen allows you to perform multiple actions. The instructions on how to perform these tasks are as follows:

How to Generate an Onscreen Report

Use the following steps to complete this task:

  1. Select an option in the Report Type dropdown menu. After choosing one, additional fields may appear.
    Note: What fields appear depend on the selected report type option.
  2. Populate all the required fields.
  3. Click on the Generate button. After clicking on it, the onscreen report appears on the same screen.

How to Download the Report as an CSV file

Use the following steps to download the onscreen report as a CSV file:

  1. After generating a report, click on the Download CSV button. After clicking on it, the download prompt begins.
    Note: The availability of this report depends on the report type.
  2. Open the file and save.

How to Download the Report as a ZIP file

Use the following steps to download the onscreen report as a ZIP file:

  1. After generating a report, click on the Download ZIP button. After clicking on it, the download prompt begins.
    Note: The availability of this report depends on the report type.
  2. Open the file and save.

Government Screen

This screen shows and allows you to generate payroll-related reports within your company. This screen allows you to generate and download reports based on various criteria. By default, the Government screen looks like the following:

The description for the field available in this screen is as follows:

However, when a report has been generated, the Government Screen may appear like the image below:

Depending on the selected option in the Report Type field, more field options may appear. The description for the fields and the report they generate are as follows:

BIR Report

The descriptions for the fields available in this report type are the following:

GSIS

The descriptions for the fields available in this report type are the following:

HDMF

The descriptions for the fields available in this report type are the following:

PHIC

The descriptions for the fields available in this report type are the following:

SSS

The descriptions of the fields for the selected report type are the following:

Government Report Action Buttons

This screen consists of three action buttons in which allows you to perform specific tasks. These buttons are the following:


Generate – Allows you to run a report based on the chosen set of criteria


Download CSV – Allows you to download certain reports in a CSV format


Download ZIP – Allows you to download the Payslip report in a zip file

How to Generate a Report

Use thefollowing steps to run a report:

  1. Click on the Report Type field and then select the report that you want to run
  2. Populate all the required fields
    Note: For fields that require a numeric value to be entered for you to continue, you may use 0 (zero) instead of leaving the field blank in case you do not have a value to enter.
  3. Click on the Generate button. After clicking on it, the results would appear at the bottom of the Reports screen.

Note: For reports with no available information, you will see the following image in the Search Results area:

How to Download a Report in a CSV format

Use the following steps to download a report in CSV format:

  1. Click on the Report Type field and select the report option of your choice
    Note: The Download CSV feature is not available for the report type “Payslip”.
  2. Populate all the required fields
  3. Click on the Generate button. After clicking on it, the search results will appear.
  4. Click on the Download CSV button.After clicking on it, the download prompt will appear on your browser

How to Download a Report in a Zip File

Use the following steps to download a report in CSV format:

  1. Click on the Report Type field and select the report option of your choice
    Note: The Download Zip feature is only available for the report type “Payslip”.
  2. Populate all the required fields
  3. Click on the Generate button. After clicking on it, the search results will appear.
  4. Click on the Download Zip button. After clicking on it, the download prompt will appear on your browser

Certificates Screen

This screen shows and allows you to generate certificates. This screen looks like the following:

The information on this screen is divided into two tabs, which are:

  • Employment Certificate
  • Government Contributions

The descriptions for these areas are as follows:

Employment Certificate Tab

This tab shows you the list of generated employment certificates.

How to Generate Employment Certificate

Use the following steps to to generate employment certificate:

  • Click the plus icon and you will be redirected to the generation page

Government Contributions Tab

This tab shows you the list of generated government contributions.

Analytics Screen

This screen shows and allows you to generate specific-related reports within your company. The datashall be available if your company has a customized report built in JP.
